Share every stop, meeting time and overnight stay. Ask for the complete itinerary to be assessed together, including how a delay at one stop affects the next. For a Singapore-led roadshow, include your final return destination as well as the regional stops.
Count golf bags separately from suitcases and include their dimensions where possible. Seating capacity alone does not establish that an aircraft can carry your party and equipment. Give us the villa, hotel or course arrival deadline.
Identify who must travel together and whether staggered arrivals are acceptable. For a larger party, ask the desk to assess an appropriate aircraft or a coordinated split, with a combined total and a schedule for each group.
Start with the information you have. Passenger names and documents can wait until they are needed for the selected flight. The initial sourcing conversation needs the trip requirements and an authorised point of contact.
A group that exceeds an available aircraft's usable capacity needs a different aircraft or an explicitly agreed split. Compare all passengers and bags against each proposed aircraft, then compare the combined cost, arrival times and ground arrangements. Availability must be checked for the actual travel dates.
Ask whether a quote covers every sector, taxes, handling and any waiting or repositioning costs. Check exclusions, quote validity, cancellation terms and the named contracting party. Dividing a charter total by the group size is a budgeting calculation; it does not make individual seats available for sale.
